Job Description
Purpose of the Role
The Deputy Admissions Manager supports the Business Director in executing and continuously improving TH School’s student recruitment, admissions, and enrollment processes for Kindergarten through Grade 12 in all campuses. The role ensures an exceptional, mission-aligned family experience from inquiry to enrollment, strengthens recruitment pipelines, and helps the school meet annual individual and team’s enrollment targets while maintaining high standards for student fit, diversity, and well-being. The Deputy Admissions Manager is responsible for leading and coordinating all retention-related efforts to ensure strong re-enrollment and stable student numbers across all school campuses.

Duties and Responsibilities
1) Admissions Operations & Candidate Journey
- Manage day-to-day admissions workflows across K–12, ensuring accuracy, timeliness, and compliance with school policies.
- Serve as a key point of contact for prospective families, guiding them through inquiry, application, assessment, and enrollment steps.
- Ensure consistent, high-quality communication via email, phone, in-person meetings, and digital platforms.
- Coordinate applicant assessments, interviews, and school readiness / placement processes in partnership with academic teams and learning support.
- Monitor application status daily and follow up proactively to minimize drop-off at each stage.
- Draft and issue admissions decisions and enrollment contracts under the supervision of the Business Director.
- Support the transition to enrollment, including onboarding communications and handover to campus or grade-level teams.
2) Recruitment, Outreach & Events
- Plan and run regular school tours, trial days, open days, information sessions, and assessment days.
- Represent TH School at recruitment events, fairs, and community engagements.
- Build and maintain relationships with feeder schools, relocation agencies, corporate partners, embassies, and community networks.
- Support marketing outreach campaigns by supplying admissions insights, story leads, and pipeline updates.
3) Data, Reporting & CRM Management
- Maintain accurate admissions data in the CRM / student information system including inquiry logs, application progress, conversion rates, and yield.
- Prepare weekly/monthly reports on pipeline health, grade-level demand, forecasted enrollment, and target tracking.
- Analyze trends (e.g., seasonal demand, nationality mix, grade hot spots, sibling yield, attrition risk) and share recommendations to improve performance.
- Ensure admissions documentation is complete and data privacy standards are upheld.
4) Service Excellence & Community Culture
- Provide warm, culturally responsive, and professional service that reflects TH School values.
- Handle complex family cases with discretion, empathy, and solution focus.
- Support re-enrollment / retention efforts by collaborating with academic and operations teams to understand family needs and satisfaction drivers.
- Participate in continuous improvement through feedback surveys, process mapping, and staff training.
5) Student Retention Management
- Lead TH School’s retention strategy to maintain and improve re-enrollment rates across all grade levels. Including re-enrollment planning, communication timelines.
- Oversee the Admissions team and collaborate with Academic and other departments to monitor parent satisfaction, identify early withdrawal risks, and ensure timely, proactive follow-up with at-risk families.
- Review and analyze retention data to provide leadership with insights and recommendations, ensuring all retention actions align with TH School’s mission, service culture, and high-quality parent experience.
6) Team Support & Leadership
- Deputize for the Business Director when required (meetings, events, reporting, or decision follow-up).
- Support onboarding and coaching of admissions staff, interns, or temporary recruitment support.
- Contribute to departmental planning, workflow refinement, and annual admissions strategy.
Qualifications
- Bachelor’s degree in Education, Business, Marketing, Communications, or a related field.
- Minimum 3 years of admissions/enrollment, sales, customer experience, or education-facing recruitment experience, ideally in an international school setting.
- Demonstrated experience managing pipelines, targets, or customer journeys with measurable outcomes.
- High proficiency in CRM systems, Google Workspace / Microsoft Office, and spreadsheet reporting.
- Bilingual English / Vietnamese communication (spoken and written).
- Training in customer service, sales, counseling, or intercultural communication.
- Experience in K–12 international school or higher educational admissions preferred
