Admissions Officer
01 Position Overview
As an Admissions Officer, you will be responsible for student recruitment, with a focus on international communities, enrollment consultation, retention support, and relationship management with parents and students. This is a sales-driven admissions role with a strong focus on recruitment, marketing lead conversion, partnerships, referrals, sibling leads, and strong customer care with both new and current families.
This role requires strong target ownership, proactive sales capability, excellent parent consultation, and high-quality customer care. You will also collaborate closely with the academic, marketing, and operations teams to ensure that every family interaction reflects our school values, professionalism, and commitment to excellence.
02 Roles & responsibilities
1. Student Recruitment
• Own and achieve assigned enrollment targets
• Approach prospective families, conduct consultations, arrange school visits, and convert qualified leads into enrollments.
• Provide clear consultation on academic programmes, pathways, scholarships, school culture, and student support.
• Manage inquiries from hotline, email, walk-ins, digital platforms, referrals, agencies, and partnerships.
• Drive families through the full admissions process from inquiry to assessment, offer, payment, and enrollment.
• Lead school tours, parent meetings, Open Days, Taster Days, and admissions-related events and activities both inside and outside the school
2.Partnership, Referral, Provincial partners.
• Develop and manage recruitment networks with provincial partners, feeder schools, education agencies, international communities, parent communities, and other referral sources.
• Plan and conduct provincial outreach activities to meet families directly, generate qualified leads, and promote Hoa Lac Campus as a strong boarding option.
• Build and maintain strong relationships with current parents to drive referral and sibling enrollment.
• Manage partner leads, referral sources, and conversion performance through clear tracking, timely follow-up, and regular reporting.
• Work with Marketing to develop creative outreach ideas, recruitment campaigns, and market activities.
3. International Community Development
• Drive qualified lead generation from international communities and parent networks.
• Build and manage strategic relationships with expat groups, embassies, international companies, relocation agencies, and education agents.
• Develop referral and partnership channels to strengthen international student recruitment.
• Represent TH Schools professionally in international community events, school fairs, and networking activities.
• Partner with Marketing to plan targeted outreach campaigns for international families.
• Monitor international leads, follow-up progress, and conversion performance.
4. Customer Care, Retention & Re-enrollment
• Own parent relationship management for assigned prospective and current families.
• Deliver timely, professional, and solution-oriented customer care.
• Drive retention and annual re-enrollment activities
• Identify at-risk families early and coordinate with Academic, Student Support, Finance, Operations, and Marketing teams to resolve concerns.
• Handle parent inquiries, feedback, and complaints professionally.
5. CRM, Reporting & Admissions Process
• Prepare and maintain key admissions documents, including CRM guidelines, reporting templates, lead tracking files, and admissions process documents.
• Prepare regular reports on pipeline status, conversion rates, lead sources, partner performance, and retention risks.
• Implement admissions policies and procedures, including assessment coordination, document collection, and enrollment completion.
• Provide market insights, competitor updates, and parent feedback to improve admissions strategy and family experience.
6. Events, Activities & Cross-Campus Responsibilities (Both inside and outside)
• Lead and execute admissions activities on campus and off campus, including school tours, parent meetings, Open Days, school fairs, and provincial recruitment trips.
• Cover admissions priorities for Hoa Lac, Chua Boc, Vinh, and other school-wide needs when assigned.
• Coordinate with Marketing and relevant departments to ensure admissions events are well-prepared, professional, and result-driven.
• Undertake other reasonable duties assigned by the Deputy Admissions Manager and Business Director.
7. Translation, Interpretation & Parent Communication Support
• Support translation and interpretation for international families when required, including emails, school policies, event communication, meeting notes, and parent updates.
• Interpret in parent meetings, school events, admissions consultations, and meetings with Academic or Student Support teams when needed.
• Support communication between international parents and the school regarding attendance, illness, lateness, early leave, student concerns, or other school-related matters.
• Translate parent feedback or concerns into English/Vietnamese for relevant school departments to follow up properly.
• Support international families in understanding school procedures, expectations, and communication channels.
03 Candidate requirements
1. Vietnamese national.
2. University degree; Business, Marketing, Education, or related fields are preferred.
3. At least 3 years of experience in sales, admissions, customer service, or business development.
4. Experience in education is preferred.
5. Existing network in provinces, schools, agencies, or parent communities is a strong advantage.
